Position Description

Position summary
The Communications & Events Specialist manages and executes both external and internal events for CGI s U.S. operations. This includes large internal executive and employee events as well as events where the CGI brand is displayed across the U.S. commercial and state & local government markets.
Events may include industry conferences, tradeshows, speaking opportunities, hospitality events, galas/dinners, CGI-hosted external events and internal leadership or employee events. The Communications & Events Specialist will work closely with Communications colleagues as well as executives and managers within the business to understand priorities and to manage an event program that supports the goals of the business. The position reports to a Communications Director on the U.S. Communications team and requires collaboration with other Communications & Events Specialists on the team.
Principle duties & responsibilities
The Communications & Events Specialist will ensure the timely and cost effective coordination of a broad portfolio of events (both large and small) as assigned, communicating regularly with Communications colleagues and internal clients (executive and working level) to ensure event success. This includes: End-to-end project management; Budget development, management and actuals tracking (includes timely processing of invoices); Management of all event logistics and details such as site selection, room block management, audio-visual logistics, tradeshow/sponsorship management and F&B management; Definition of event goals, objectives, and tactics; Negotiation with event hosts and vendors on costs and to secure strong branding; Planning and execution of event-related communciations before, during, and after the event (includes writing, editing, web content, and content/graphics creation); Travel, as needed, to set up and manage on-site presence; and Measurement and evaluation of event success, lessons learned, and ?return on objectives for each event.
In addition, the Specialist will: Create weekly reports for the communications leadership; Brief executives on planning; Develop strong relationships with event organizers, third-party associations, suppliers, vendors, and venues; Share best practices with other team members to further advance team skills; Consistently use CGI brand standards in all communications and events materials; and Offer suggestions and coordination support for tools or new processes to implement which would improve U.S. Communications practices.
Required knowledge, skills & abilities At least 5-7 years of experience in events management and execution for a broad portfolio of concurrent events of varying size and scale.
Demonstrated strong verbal communications skills to represent CGI and the Communications team internally and externally Writing and editing for various media, including event communications/materials, talking points, boilerplate descriptions, etc. Self-starter who has advanced project and budget management skills Knowledge of and experience with both internal and external event requirements Ability to juggle multiple deadlines and perform well under pressure Ability to work manage workload independently as well as contribute to team projects Exceptional attention to detail.
Desired knowledge, skills & abilities CMP preferred Vendor negotiation skills that result in premium positioning, cost savings, etc. Experience establishing systems, processes, and tools to improve team efficiency and effectiveness Experience with creating and managing external vendor relationships B2B, professional services, and/or professional association experience a plus Experience with team tools (Cvent, Constant Contact, SignUp4) a plus.
Additional requirements Ability to travel (full time travel not required) Ability to work evenings and weekends in line with event calendars Ability to physically set up exhibit booths, which includes lifting and transporting boxes and other assets.
